Job Summary:
The Assistant to the Office of the Vice-Provost, Academic provides professional and confidential administrative support to the Office of the Vice-Provost, Academic, as directed by the Executive Assistant to the Vice Provost, Academic. The assistant supports all departments that comprise Office of the Vice-Provost Academic. The Assistant resolves routine issues and problems, makes appropriate referrals, exercises initiative and sound judgement, and ensures that the appropriate offices in the Vice-Provost, Academic portfolio are aware of issues that require attention.

The incumbent acts as the initial contact for internal and external stakeholders, performs complex and highly confidential administration activities, and supports the office in special projects, research, and events.

Qualifications:
Completion of a two-year diploma from a recognized post-secondary institution.

Minimum three (3) years administrative experience.

Demonstrated professionalism and ability to maintain confidentiality.

Highly resourceful, organized, and with a demonstrated ability to self-initiate.

Ability to manage multiple projects and deadlines with a high degree of accuracy and attention to detail.

Exceptional interpersonal skills, including the ability to work effectively in a team environment.

Excellent written/oral communication skills.

Exceptional customer service skills.

Experience working with diverse populations.

Experience planning events and workshops.

Experience preparing agenda packages, setting up, taking notes, and preparing minutes for large meetings, following up as needed.

Ability to work under pressure and under tight deadlines.

Advanced knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook) and Adobe.

Working knowledge in Web design in MyWeb.
