Job Description

The role of Accounting Clerk & Administrative Assistant is responsible for the smooth and efficient management of the accounting tasks within the Winery Facility and all its general systems and functions. The position will be relied upon to provide key accounting support to the General Manager of Operations and the management team. They will be integral in our organizational success and will be trusted to play a key role in communicating and demonstrating our company’s core values to all that visit and work within our workspace. The successful candidate will have a certificate or diploma in accounting or a combination of education and experience with a minimum of 3 years’ experience with accounting and administrative duties; be analytical and proven problem-solving with the ability to perform moderate account reconciliations. Your experience is complemented by excellent interpersonal organizational skills. Knowledge of the wine industry is an asset.

Principal Responsibilities:

1. General administrative duties:

  • answering and directing phone calls
  • Update Outlook calendar for both the company and General Manager,
  • Provide a general administrative support to General Manager, facility managers and supervisors for various day to day issues as they arise.
  • Support with the preparation of reports, correspondence and memos, as well as the creation of forms and templates.
  • Keep the office in a tidy appearance, preparing for daily needs (copier paper, sign in/out binder)

2. Inventory:

  • Track wine inventory and record in propriety software systems.

3. Accounts Payable:

  • Receiving invoices and preparing them for payment
  • Code, total, batch, enter, verify and reconcile the accounts payable transactions;
  • Reconciles processed work by verifying entries and comparing system reports to balances.
  • Charges expenses to accounts by analyzing invoice/expense reports; recording entries.
  • Preparing cheques; resolving purchase order, contract, invoice, or payment discrepancies
  • Maintains accounting ledgers
  • Assistance with data entry and document management.
  • Updating changing client and employee information
  • Preparing all government documents and forms as per regulatory requirements (HST, CRA, LCBO, MoF, etc.)
  • Produce financial statements on a scheduled or as needed basis (trial balance, income statement, balance sheet) cash flow report, delinquent accounts report, and weekly payables reports, etc.)
  • Creating shipping labels and documentation for shipments.
  • Prepare period or cost statements or reports
  • Other duties as required

4. Education and Experience:

  • Good knowledge of bookkeeping practices and accounting principles and procedures
  • Good knowledge of relevant legislation and regulatory requirements
  • Post-secondary education in Accounting or equalivant degree;
  • Great people skills, friendly and well-organized;
  • Must have experience working with Microsoft Office Suite of programs with a strong focus on Excel.
  • General knowledge of data entry functions.
  • Strong problem-solving skills, mathematically inclined;
  • Must have exceptional English communication skills (verbal and written).
  • Confident in skills to work with minimal supervision.
  • Wine industry experience an asset.
