Job Description

  • Want to join one of Canada's largest distribution companies? Staffmax is hiring for administrative roles within our client's accounting department!

This is a full-time, permanent role that offers flexible shift timing, benefits, and annual raises.

Schedule (Monday - Friday): 4 10-hour shifts/week OR 5 8-hour shifts/week

Duties:

Processing:

  • Receive invoices, monitor approval status, and manage processing of invoices. Handle any correspondence between Carriers and Alero regarding invoice-related issues.
  • Conduct rate audits and invoice coding.
  • Input Linehaul A/P invoices into the IBS accounting software.
  • Work with management to arrange schedules for support staff to ensure timely completion of tasks.

Accounts Receivable and Billing:

  • Arrange PODs (Proof of Delivery) documentation by vendor and numerical order to simplify processing on Wednesday morning.
  • Evaluate Ontime system for any duplicate orders.
  • Check Vendor contracts and rates to ensure accurate billing of orders.
  • Aid in the auditing of weekly billing.
  • Generate billing in Excel format and PDF format for direct submission to Vendors.
  • Handle inquiries and corrections unless escalation is required.
  • Transmit weekly statements and payment requests to Vendors.
  • (Crosstrain only, not a mandatory responsibility) Complete electronic cheque deposits into multiple bank accounts, including preparation of deposit sheets.
  • File relevant documents.

Requirements:

  • Exceptional focus on details.
  • Excellent time management abilities.
  • Robust English communication skills in both written and verbal forms.
  • Proficiency using Excel
