Our international oilfield service client is looking for an Administrative Assistant to join their Newfoundland team!


The Administrative Assistant will be responsible for completing all administrative duties by the General Manager necessary to the operation of their business at the respective location.


Essential Duties and Responsibilities

  • General reception duties including processing daily paperwork
  • Invoice and Rebills (customer rental, chargebacks, replacement costs)
  • Record cost management and tracking of rental jobs
  • Manage rental job folders and associated paperwork including inspection & receiving reports and delivery tickets
  • Contact customers regarding past due invoices and obtain status
  • Assist in the setup of new customers and suppliers in database
  • Submit EDI invoices through customer portals
  • Assist with monthly close-out activities as needed
  • Obtain quotes and issue purchase orders for general supplies and services
  • Process vendor invoices for payment
  • Maintain records of purchase orders released to vendors
  • Assist Human Resources with new hire orientation, benefits, and forms
  • Assist QA/QC HSE Department with data entry and management in online database
  • Schedule and arrange training for staff
  • Follow and adhere to QA/HSE policies and procedures
  • Other duties as required

What You?ll Need

  • Business Administrative Diploma or Equivalent Experience
  • A valid Canadian driver?s license
  • Minimum of 5 years experience in billing/accounting practices and related duties
  • Proficiency in Microsoft Office (Excel, Word) and typing
  • Willing and able to learn existing and new software
  • Knowledge of billing/accounting practices
  • Effective communication skills
  • Ability to work well with others
  • Good organization skills
  • Ability to handle and complete multiple tasks at a time
  • Effective time management and the ability to manage workload
