About this Opportunity

This posting is for our pre-qualified applicant inventory eligible for short-term, casual assignments (normally 21 days or less) at the University of Victoria. We will keep all applications on file for a period of six months.

A minimum of six months of recent administrative and/or clerical experience is required and preference may be given to those with more extensive experience, as well as full-time availability from Monday to Friday between 8:30 am and 4:30 pm. Please indicate your availability in your cover letter. For these opportunities we are looking for people with experience supporting teams and changing office environments.

These are casual positions based on operational needs. Hourly rate $23.28 - $31.17 - depending on the individual assignment.

Job Summary

Provide advanced confidential administrative and secretarial support to our executive offices. You will be responsible for ensuring accurate and timely delivery of a full range of administrative services which may include:

  • Handling confidential and sensitive materials
  • Supporting leaders with all administrative requests
  • Proofreading/editing documents
  • Correspondences
  • Managing calendars
  • Reception duties
Job Requirements

Skills:

  • High attention to detail to ensure accuracy
  • Excellent customer service skills and techniques
  • Strong interpersonal and communication skills both verbally and in written format.
  • Demonstrated ability to handle confidential material and information with discretion
  • Demonstrated ability to exercise initiative and work independently
  • Demonstrated ability to adapt to changing office environments
  • Ability to work effectively as a member of a team
  • Ability to handle incoming requests in accordance with departmental service standards
  • Ability to respond to in-person, email and telephone inquiries
  • Ability to exercise initiative and/or seek clarification from others


Specialized Knowledge/Education:

  • Secondary school graduation or equivalent
  • Experience and proficiency using relevant office technology including MS Office (Word, Excel, PowerPoint) and electronic calendaring (Outlook) and databases


Experience:
6 months of recent work experience in a business, administrative or clerical setting

An equivalent combination of education, training and experience may be considered.
