Position Overview

Reporting to the Regional Manager, Clinical Systems the incumbent provides general reception and is responsible for accounting functions, data entry, filing, printing and record retention. They will utilize CBORD Food Services Suite to update service menus and edit items as directed by operations. The Administrative Clerk places orders for office supplies and defined client service needs. They are responsible for communicating effectively and clearly with all staff and visitors. They will participate in Quality Assurance Programs.


  • Performs accounting functions including processing invoices to reconcile with CBORD Food Services Suite, code, obtain required signature and copy and forward for payment.
  • Responsible for accurate data entry, maintenance of forms, phone lists, mail distribution, and filing according to record retention guidelines as applicable.
  • Utilizes CBORD Food Services Suite to update service menus, edit items accurately. Prints and distributes reports for operations as required.
  • Conducts an assortment of procurement functions for ward stock, contingency, stationary and patient services and contingency orders. Resolve any order discrepancies and escalates as required.
  • Communicates effectively and clearly with all staff, visitors and vendors/ distributors through verbal (face to face or telephone), fax or email.
  • Participates in Quality Assurance Programs and adheres to all Workplace Health and Safety requirements.
  • May be required to perform other duties and functions related to the job description not exceeding above stated skills and capabilities.

Experience

  • Experience in patient food services preferred.
  • Experience working in an office/ accounting environment preferred.

Education (Degree/Diploma/Certificate)

  • Complete High School education, Manitoba standards required.
  • Successful completion of a recognized certificate/ diploma program in business accounting/ administrative assistant (with accounting)/ equivalent required
  • A combination of education and experience may be considered.

SPECIAL TRAINING:

  • Trained in CBORD Food Services Suite preferred.

Qualifications and Skills

  • Must have ability to prioritize workload, while still meeting deadlines.
  • Demonstrated proficiency in Microsoft office (Word, Excel, Outlook - minimum 70% in each area).
  • Minimum 40 wpm typing.
  • Must be able to read, write and speak English effectively, with the ability to follow oral and written instructions.
  • Must have excellent interpersonal and problem-solving skills.
  • Must have satisfactory employment record.

Physical Requirements

  • Use of computer terminal, fax and telephone for long periods of time.
  • Involves some intermittent standing, walking and carrying.
  • Ability to work as a team member and independently in a time sensitive environment.

This position requires a current satisfactory Criminal Records Check (including Vulnerable Sector Search), Child Abuse Registry Check and Adult Abuse Registry Check as conditions of employment. The successful candidate will be responsible for any service charges incurred. A security check is considered current if it was obtained no more than six (6) months prior to the start of employment.
