The Clarion Hotel & Conference Centre is the largest conference center outside of metro Vancouver with 24,000 square feet of meeting, event and tradeshow space. We feature 116 guest rooms, including Executive Business Class Rooms & Suites.

We are looking for a self-driven, motivated, extremely organized, positive attitude and social butterfly to join our catering team as Banquet Sales Coordinator - Corporate Market. This position will report directly to the Director of Catering. Provide professional assistance to the Conference Centre clients within the Corporate market by booking and organizing clients meetings, trainings and other related events.

The Banquet(Catering) Sales Coordinator will work directly with clients in preparing for their event, building relationships by anticipating client needs, practicing good listening skills, providing professional recommendations to help the events succeed, and demonstrating time management. Deal with complex arrangements to ensure the competent and accurate account of details is communicated effectively to the client and all departments in the hotel. This position acts as an extension of the Director of Catering to build solid relationships with existing and potential new clients.

Duties and Responsibilities of the Banquet (Catering) Sales Coordinator include:

  • Respond promptly to all phone, email and walk-in inquiries within the corporate market. A proposal, quote, or acknowledgement to inquiries must be sent within one business day.
  • Conduct professional site visits and client meetings as necessary to showcase the hotel’s conference rooms and guestrooms when needed.
  • Plan, up-sell and detail the functions with the client as the event approaches, with multiple meetings leading up, details including space requirements, itinerary/times, audio visual equipment and food & beverage selections maximizing function space and revenue.
  • Prepare appropriate paperwork to include catering contracts, internal event orders, change orders and diagrams/floorplans communicating details effectively to the client and all hotel departments.
  • Monitor deposits, contract confirmation, amendments and guarantees within Caterease program to ensure accurate communication and invoicing with the client.
  • Attend all relevant meetings to review event details and communicate details with other departments as required.
  • Closing functions post event and prepare invoicing to send to the client. While taking opportunities to rebook event and inquire for any feedback of the entire process (inquiry/planning stage, day of execution, quality of service and food etc.)
  • Processing all deposits and final payments and sending receipts to client.
  • Perform administration duties for the Catering Office to include, but not limited to, daily reader boards, door signs, change orders, print new week, filing and maintaining office supplies.
  • Cover duties of the Director of Catering and/or the Catering Sales Coordinator – Weddings & Socials when not in the office.
  • Be onsite to welcome clients at the start of the function, may include evenings and weekends.
  • Apart of the Catering team work collectively as a group to monitor and update social media feeds with relevant information to benefit Clarion Hotel’s marketing efforts

Job Type: Full-time

Salary: $42,000.00-$45,000.00 per year
