What is the opportunity?

The Enterprise Strategic Client Group (ESCG) serves a select group of RBC’s most strategic and complex families. This role is responsible for providing proactive, high-touch and integrated “One-RBC” support for the ESCG, including end-to-end administration, reporting support, calendar/travel/event co-ordination, and assisting in maintaining up to date client relationship management information. Working with senior leaders, cross functional partners and enterprise client family-business connections in a highly agile and client-centric environment, this role adds value by: assisting in development of client/business presentations, engaging with client/family office contacts and executives/senior leaders for management of calendars and providing direct support to the ESCG for complex travel planning, expense management, invoice & accounts payable, asset management and program support for special initiatives.

What will you do?

  • Providing proactive calendar management support including prioritizing scheduling and managing conflicts, booking team meetings, utilizing WebEx and Conference details while seeking opportunities to provide additional value-added service to ensure all established deadlines/commitments are met.

  • Managing detailed executive travel arrangements (flights, cars, itineraries), ensuring the fulfillment of compliance-related travel requirements.

  • Timely validation and execution of monthly expenses within respective policy guidelines.

  • Ensure effective and efficient office supply/asset management, engaging with functional partners as required for timely problem resolution on escalated issues or to support a seamless employee on board/off board experience.

  • Effectively navigating internal systems and technology (e.g. MyMarketplace, MyProcurement, etc.) to place requests for supplies and keep record of approvals, ultimately ensuring adequate supply items for office flow.

  • Providing support, when required, for both ad hoc and/or ESCG sponsored client events such as invites, RSVPs, client follow up, client ticket distribution and CRM updates.

  • Partner internally with the ESCG to ensure the achievement of team deliverables as it may pertain to data collection and management, preparation of client/business presentation and materials and effective problem resolution and investigation in client queries.

What do you need to succeed?

Must Have

  • 5+ years previous experience as an Executive Administrative Assistant supporting executive level (Director, VP, SVP, Group Head);

  • Operations support experience;

  • Problem resolution & comfort with ambiguity at Business/Function level;

  • Exceptional planning and logistical skills, including experience co-ordinating and planning Events;

  • Strong attention to detail and privacy/confidentiality

  • Outstanding verbal and written communication skills;

  • Fully proficient with MS Office (Word, Excel, PowerPoint, and Outlook);

Nice to have

  • Ability to multi-task and prioritize and work independently under tight deadlines in a fast-paced environment;

  • Ability to work well within a team environment and take ownership of team deliverables
