Provides efficient and confidential administrative support to the Sr. Vice President (SVP), Retail Customer Value, the VP, Customer Experience & VP, Customer Segments, with an indirect line into the Senior Manager, Strategic Initiatives supporting all strategic initiatives. The Executive Assistant (EA) is responsible for independent prioritization of the workload to ensure the identified objectives and deadlines are met and ensure internal and external partners are handled in a courteous and friendly manner. The Executive Assistant contributes to the overall success of the department by ensuring specific individual goals, plans, initiatives are executed / delivered in support of the team’s business strategies and objectives. Ensures all activities conducted follow governing regulations, internal policies, and procedures.


Is this role right for you? In this role, you will:


1. Support the senior executive(s) in day-to-day management of schedule and correspondence by:


  • Establishing and coordinating calendars
  • Arranging/scheduling appointments on behalf of the executive
  • Anticipating scheduling conflicts/problems and providing alternatives
  • Acting on telephone / mail requests received in the senior officer’s absence
  • Take a lead in problem solving with partnered EAs on scheduling changes
  • Dealing with correspondence as appropriate (responding, delivering, filtering based on knowledge of work)


2. Organize meetings / conferences by:


  • Assessing and seeking out the most appropriate venue for meetings / gatherings based on size / type and attendees
  • Arranging bookings for boardrooms / conference rooms (internal)
  • Arranging for equipment, materials, food catering etc. for meetings as appropriate
  • Meeting with outside providers of service (conference centres / hotels / caterers)
  • Overseeing arrangements, ensuring smooth execution and assessing outcomes for future reference
  • Preparing invitations for sign off by senior officer
  • Tracking responses of meeting attendees, following up as appropriate
  • Booking travel arrangements, ensuring all requirements of officer are met


3. Assist in maintaining the senior officer / department’s expense and other budgets by:


  • Preparing entries / transactions and supporting documentation to process payments
  • Recording /inputting / documenting data to track, monitor and control expenses
  • Providing supporting information reports to management to support decisions
  • Maintain and collect invoices on behalf of the senior executive team
  • Verifying telephone bills/expense statements/preparing and submitting reports


4. Provide direct strategic support on all strategic initiatives:


  • Assist with all executive communications to the broader RCV team
  • Responsible for all Business Continuity Planning for the broader RCV Team and working with appropriate stakeholders
  • Coordinate and manage all town hall planning
  • HR Administration upkeep and responsibilities focusing on the organizational chart
  • Run all RCV culture focused activities, such as Social Committee, which stem into Scotia Pulse planning and upkeep
  • Ad – hoc ownership of all data gathering for executive speaking engagements
  • Planning and initiative on all executive agendas
  • Support on all Retail Onboarding Program requests, supporting the SVP executive sponsor of the program


5. Understand how the Bank’s risk appetite and risk culture should be considered in day-to-day activities and decisions

  • Excellent technology skills (MS Office, Outlook, Internet Explorer, etc.) and sound knowledge of business/bank terminology and departmental procedures
  • Excellent organizational / time management skills to handle a fast-paced (sometimes stressful) environment; able to quickly comprehend instructions, independently prioritize multi-person workloads, take ownership of and ensure assignments are completed accurately and deadlines are met
  • Strong verbal and written communications skills, with the ability to communicate effectively within all levels of the organization; ability to maintain harmonious relationships with internal and external partners across the Bank’s footprint.
  • Skills to conduct oneself in a highly professional manner and operates with a high degree of discretion and confidentiality
  • A positive, can – do attitude, ready to take initiative and accountability for all things handed their way
  • Previous EA, or equivalent experience, an asset.
