Job Description

Endeavor Trust Corporation is a fast-growing provincially regulated financial institution located in downtown Vancouver. We play a key role in the Canadian securities market through participation in company initial public offerings, financings, mergers and acquisitions, and other corporate actions. We are looking for a Corporate Secretary/Executive Assistant to join our team.

The successful candidate will possess strong experience with managing corporate minute books taking and preparing meeting minutes, scheduling board and committee meetings, general filing, scheduling, working in a fast-paced environment, and a willingness to take on other tasks to assist in team projects.

Responsibilities:
  • Preparing reports, memos, letters, and other documents as they arise.
  • Answering phones and routing calls to the correct person or taking messages.
  • Filing and retrieving corporate records, documents, and reports.
  • Researching and conducting data to prepare documents for review and presentation by boards of directors, committees, and executives.
  • Helping prepare for meetings.
  • Accurately recording minutes from meetings.
  • Greeting visitors and deciding if they should be able to meet with executives.
  • Using various software, including word processing, spreadsheets, databases, and presentation software.
  • Reading and analyzing incoming memos, submissions, and distributing them as needed.
  • Making travel arrangements for executives.
  • Opening, sorting and distributing incoming faxes, emails, and other correspondence.
  • Provide general administrative support.

Requirements:
  • Experience in a legal environment is an asset.
  • In-depth understanding of the entire MS Office suite.
  • High school diploma.
  • Ability to organize a daily workload by priorities.
  • Must be able to meet deadlines in a fast-paced quickly changing environment.
  • A proactive approach to problem-solving with strong decision-making skills.
  • Professional level verbal and written communications skills.

The position is NOT an entry-level position and direct experience is required.
