This role is responsible for providing administrative support to the CEO through a variety of tasks related to scheduling, research, communication and organization. Your duties will be completed accurately, delivered with high quality and in a timely and professional manner.

Job Description:

We are looking for a proactive, self-starter Executive Assistant to support our CEO in managing their day-to-day tasks, coordinating with internal and external stakeholders, and ensuring the smooth operation of our organization. The successful candidate will have a strong background in administration, excellent communication skills, and the ability to handle sensitive information with discretion.

Key Responsibilities:

  • Manage the CEO's calendar, schedule meetings, and coordinate appointments.
  • Prepare meeting agendas, take minutes, and create summary reports.
  • Organize and maintain files and records, both physical and digital.
  • Coordinate travel arrangements and itineraries for the CEO.
  • Prepare presentations, reports, and other documents as required.
  • Communicate with internal and external stakeholders on behalf of the CEO.
  • Assist in the planning and execution of company events and meetings.

Perform any other tasks as assigned by the CEO to support the efficient operation of the company.

Qualifications:

  • Bachelor's degree in Business Administration or a related field.
  • A minimum of 3-5 years of experience as an Executive Assistant, Administrative Assistant, or a similar role.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Strong organizational skills, attention to detail, and the ability to multitask.
  • Ability to handle confidential information with discretion and professionalism.
  • Proactive, resourceful, and able to work independently with minimal supervision.

Job Type: Full-time

Salary: $50,000.00-$60,000.00 per year

Schedule:

  • 8 hour shift

  • Montréal, QC: reliably commute or plan to relocate before starting work (required)
