Front Desk Reception

Job Purpose: The front desk Reception is responsible for providing an exceptional first impression to internal and external customers; both in person and on the phone. In addition, this position provides administrative assistance to the Executive Assistant.

Responsibilities
  • Answer incoming phone calls, screen, and direct to appropriate person or take messages
  • Responsible for initial customer experience on entry to Home Office; this includes welcoming visitors as they enter the building, screening, and directing to appropriate person or taking message
  • Responsible for the safety and security protocol by keeping visitor log and following procedure
  • Responsible for office stationery; ordering, authorizations, preparing orders with approval and distribution when order arrives
  • Keeps a safe and clean reception area by complying with procedures, rules, and regulations
  • Monitoring break room inventory, including replenishment when needed
  • Updating company directory, phone lists, and other contact lists
  • Sorting incoming mail; receive, sort, and distribute daily mail/deliveries/couriers and truck mail
  • Ensuring adequate coverage of reception desk during absence
  • Ordering birthday cake for DC/Home Office monthly (last Friday of each month)
  • Ordering business cards
  • Assist with projects as assigned
  • Coordinate company vehicle fleet; sign-outs, returns, insurance additions
  • Monitoring of reception TV/display welcome page
  • Oversee telephone system and respond to inquiries from employees on phone/voice mail set up
  • Oversee audio visual equipment sign in/out
  • Ordering flowers upon request
  • Reconciliation of petty cash
  • Posting news updates onto Peavey News Blog on the Hive
  • Assist with Service Award administration
  • Assist with event administration and implementation
  • Perform other clerical receptionist duties such as scanning and filing
Qualifications
  • Proficiency in Microsoft Office
  • High School Diploma or equivalent
  • Prior experience in an administrative role is an asset
