BBA’s Edmonton office is a small and dynamic office with plans to grow. We are we looking for a motivated person who shares our organization’s values of respect, commitment, team spirit, collaboration and accountability. The role requires flexibility and agility as is common in a small office environment. Responsibilities of the Administrative Assistant include supporting the Office Director in his or her daily management tasks, general office maintenance, social activity coordination and client document control.

  • Receptionist duties; front reception, expense reports, answer calls, client greeting, general inquiries.
  • Support employees requests and where necessary refer employees to the appropriate resource;
  • Arrange meetings, lunches and other administrative activities.
  • Mail and courier collection and distribution
  • Manage office supplies / inventory levels and general office maintenance.
  • Identify, plan and schedule social activities. Maintain social budget for the year;
  • Manage relationships with suppliers, office supplies, coffee, occasional coordinate with building maintenance
  • Document control on projects – issue and receive documents according to both BBA and client document control procedures and log documents into BBA and client PM management database.

Profile and essential skills

  • Completion of an Office Administration or Business Administration degree or equivalent,
  • Very proficient in all MS Office suite of applications (Outlook, Word, Excel and Power Point), Adobe Editor;
  • Some knowledge of Microsoft Access or equivalent database system
  • Excellent knowledge of the English language, both oral and written
  • Working knowledge of French will be considered an asset
  • Experience in a similar position with an Engineering company would be an asset.
