The Opportunity:

We are seeking a friendly, self-motivated individual for the role of Office Administration Generalist -Receptionist. The successful applicant must have strong attention to detail, communicate effectively, and have excellent organizational skills. They enjoy working in a busy environment where they can use their multitasking skills in a fun environment. In addition, this individual should have an analytical mind, and always be looking for ways to better improve systems and efficiencies.

What we're looking for:

  • Excellent customer service skills
  • Approximately 2 years experience in busy office setting
  • Knowledge of Nanaimo and the surrounding areas
  • Computer skills - Microsoft Office (Excel, Word, Outlook)
  • Ability to adapt quickly to new systems, QuickBooks experience is preferred
  • Ability to meet deadlines and adapt to changing priorities
  • Strong sense of urgency and self motivated to handle multiple projects
  • Strong organizational and time management skills
  • Positive attitude and effective communication skills
  • Analytical and detail oriented
  • Team oriented, positive attitude and strong communication skills as well as the ability to work independently
  • Construction knowledge is an asset

Responsibilities:

  • Present a positive and professional image of the organization to all visitors, suppliers, inquires, drivers and other interactions
  • Answer phones and provide excellent customer service to our clients, providing information about any inquires or requests
  • Prioritize calls, emails and work orders according to urgency and importance
  • Proactively resolve any arising problems or complaints
  • Order entry CRO/Quickbooks
  • Create invoices and receive payments. Process payments and credit card postings
  • Ability to strategically plan and manage logistics of transportation in the absence and/or support of the dispatcher
  • Liaise and negotiate with suppliers, manufacturers, retailers and customers
  • Process incoming paperwork and ensure accurate and timely input of data
  • Recording equipment logs and maintenance hours
  • Order office supplies and organize for use
  • Scanning daily slips and review daily billing
  • Ability to manage Accounts Receivable: create invoices, statements and deposits
  • Processing of Accounts payable and purchase orders
  • File maintenance
  • Assist the Controller, Office Manager and other team members as required
  • Other office duties as required

Milner group continues to provide services such as trucking, gravel quarrying, demolition, and hazardous materials abatement, hauling, and disposal services for residential and commercial waste to a diverse range of clients in the Mid-Island area. This is a permanent, full time position in Nanaimo, BC and open to all Canadian residents and those that currently have the ability to work in Canada. Preference will be to candidates in the local area. This position is not located on or near a bus route.
