Job Purpose:

We are looking for an experienced Administrative Assistant to join our operations team in Waterloo, ON. Reporting to the CEO the Administrative Assistant will provide executive support to the CEO while also serving as the primary business administrator for the VueReal Waterloo, ON Office. The Administrative Assistant must be creative and enjoy working within a start-up, entrepreneurial environment. The ideal candidate will have the ability to exercise good judgement in a variety of situations, with strong written and verbal communication, administrative, organizational skills, and the ability to maintain a realistic balance among multiple priorities.


YOUR Day-to-day Responsibilities:


  • Act as a key contact person for the CEO
  • Handle information with an extremely high degree of sensitivity and confidentiality
  • Display critical thinking in applying principles theories and concepts on a wide range of problems
  • Demonstrates leadership to build relationships crucial to the success of the organization
  • Provide administrative support to CEO including scheduling; organize internal and external multi-party meetings; prepare meeting agendas and support materials; creating documentation and taking meeting notes, planning CEO schedule, working to support all company executives
  • Prepare or modify documents such as legal and banking documents, internal and external presentations, HR documents, correspondence, reports, memos, and emails.
  • Provides a bridge for smooth communication between the CEO and internal departments; demonstrating leadership to maintain credibility, trust, and support with senior management staff.
  • All other duties as assigned

TOOLs/Skills you need for your role:


  • Bachelor’s degree preferred
  • 2-3+ years previous administrative experience supporting the CEO and other company executives
  • Advanced computer skills – proficient in Word, Excel, PowerPoint, Outlook, Google Docs/Sheets and the ability to proactively manage Calendar.

Willing to lead projects and take initiative in areas where deficiencies are noted.

  • Able to work in a highly organized manner where detail, accuracy, urgency, confidentiality, and discretion are critical with minimal supervision.
  • Works well under stress and/or with tight timelines
  • High level of oral and written communication
  • Strong work ethic, trustworthy and a team player
  • Superior organization and administrative skills
  • Understanding of HR related regulations is an asset
