JOB DESCRIPTION
JOB TITLE: Project Coordinator, Capital Delivery

PRIMARY FUNCTION:
Responsible for providing technical and administrative support for capital projects for engineering design and construction of municipal infrastructure such as roads, bridges, dams and culverts; water distribution systems; wastewater collection systems; and storm water systems.
SUPERVISION RECEIVED:
Manager of Capital Delivery or designate
WORKING PROCEDURES:
- Supports the Department Manager and Project Managers in the delivery of multiple, differing types of capital projects from engineering design, through construction to close out.
- Assists and contributes to budget preparation, obtaining regulatory approvals, tendering, procurement, construction contract administration and documentation, inspections, quality control, and review of progress payments.
- Reviews and coordinates work of consultants and contractors and communicates with key project stakeholders.
- Reviews and provides written comments on design drawings, specifications, reports and other documents.
- Prepares and updates project management spreadsheets and other software systems used for tracking and reporting project expenditures and schedules.
- Prepares, monitors and reports on capital project schedules.
- Prepares Change Order documentation for review and approval.
- Liaises with internal Procurement Services and Financial Services staff to ensure efficient processes.
- Reviews various construction contract administration reports and documents for completeness and accuracy.
- Prepares communication material for construction notices, Public Information Centres and the Town’s website.
- Performs field activities such as inspections, recording measurements and observations, taking photos, delivery of notices, attendance at site meetings, etc.
- Communicates and works with consultants, contractors and stakeholders to address concerns and solve problems.
- Writes reports, studies, letters, memos, as well as prepares charts and figures.
- Assists and contributes to preparation of Council reports.
- Manages project documentation and maintains complete records in Town’s filing system.
- Reviews and compiles as-constructed drawings and records.
- Provides front-line customer service with respect to Departmental programs and initiatives, including meeting with residents and property owners to resolve complaints
- Participates in the Town’s Health & Safety Program; complies with the Occupational Health and Safety Act, other applicable legislation and best practices
- Maintains knowledge of and adheres to all Town of Georgina policies and procedures
- Participates in ongoing training and development and ensures all mandatory requirements are met and maintained

SKILL/KNOWLEDGE REQUIREMENTS:
Education and Training
- A degree or 3 year college diploma in a relevant Applied Sciences or Engineering Technology program from an accredited university or college.
- Member of the Ontario Association of certified Engineering Technicians and Technologists considered an asset.
Experience
- Minimum two (2) years as a project coordinator or technologist/technician with experience on projects involving the design and construction of municipal infrastructure.
- Demonstrated experience in design, contract preparation and construction contract administration of municipal roads, water/wastewater/storm water projects and site inspections
Knowledge
- Demonstrated understanding of relevant standards and regulations such as: Ontario Provincial Standards and Specifications, the Highway Traffic Act and Book 7, the Environmental Assessment Act, the Environmental Protection Act, the Safe Drinking Water Act, the Water Resources Act, the Occupational Health and Safety Act, the Construction Act, and others.
Competencies
- Intermediate level skills using MS Excel, MS Word, MS PowerPoint, Bluebeam, and ability to use simple graphic/sketching software programs.
- Excellent verbal and written communications in English, strong presentation and interpersonal skills.
- Proactive problem solver; able to apply both analytical and creative thinking to identify effective solutions.
- Good judgement, appropriate independence and behaves courteously and professionally in all situations when dealing with many different types of people.
Physical Demands and Working Conditions
- Normal office conditions, hybrid working environment with regular travel and work at construction sites. Exposure to inclement weather conditions, dust, and other construction site conditions.
- May be required to work occasional evenings or weekends.
- Class G driver’s license in good standing with access to a reliable vehicle for Town use.
