Career Opportunity – Executive Assistant/Office Manager

Benga Mining Limited, a wholly owned subsidiary of Riversdale Resources Limited, is proposing to develop a steelmaking coal project - referred to as the Grassy Mountain Project - in Crowsnest Pass, Alberta, Canada.

We are currently seeking an experienced Executive Assistant/Office Manager to join our team in Calgary. Reporting to the CEO and the Senior Manager Commercial, the Executive Assistant/Office Manager will play a vital role in providing executive support and ensuring that the Riversdale Calgary office operates in an efficient and well-organized manner. The role will collaborate with the Blairmore Administrative Assistant to effectively manage overlapping responsibilities and provide backfill coverage as required. Responsibilities include executive assistance, overseeing all general office administrative functions, event planning and special projects as assigned.

SPECIFIC DUTIES AND RESPONSIBILITIES
Executive Assistance
  • Provides professional executive support for the CEO and other senior leaders
  • Manages executive schedules and email
  • Manages executive expense claims
  • Coordinates executive travel and accommodations

General Office Administration
  • Reception services - front line for answering the phone and greeting visitors to the Calgary office
  • Coordinates the purchasing of office supplies and equipment
  • Books travel and accommodation for staff and consultants
  • Keeps records for various sets of keys, property and office equipment
  • Oversees cleaning contractor and maintenance of the office
  • Collects and processes business mail
  • Attends meetings and takes formal minutes as required
  • Manages conference room bookings and catering
  • Primary contact for building manager

Event Planning and Special Projects
  • Plans and sets up corporate events
  • Supports special projects as directed

QUALIFICATIONS AND EXPERIENCE
  • Progressive administrative experience, with a minimum of 5 years’ experience supporting senior leadership in an executive assistant role
  • Must be comfortable with technology and have strong computer skills
  • Highly proficient in MS Office including Word, PowerPoint, Excel and Outlook
  • Event planning experience is an asset
  • Excellent interpersonal and communication skills
  • Ability to interact well with others
  • Strong organizational skills with the ability to multi-task and meet deadlines
  • Strong attention to detail
  • High ethical standards with a commitment to professionalism, discretion, and confidentiality

This is a full-time role, based in our office in downtown Calgary, Alberta.
